CHARMS Office Assistant

The Perrysburg Schools Band Boosters recently invested in licensing a software package that will help to improve communication of information between the music directors, Band Boosters, students, and their families. Charms Office Assistant is an all-encompassing management system to help organize student contact information, manage inventory, assign uniforms, track attendance, and work with trips, fees, fundraisers, form collection, and lots more. Charms can send group email, email financial statements and because it is web-based, it allows for multiple users from any computer connected to the internet.

One of the best features is the ability for students and their families to access information about a student’s band activities online, including the ability to update contact information for students and adults, see a calendar of events, check and see what is owed for uniform fees or trips, check amounts earned through participation with fundraisers, and even manage uniform assignments. Another feature that is available is the ability to pay fees online.

This new system will be phased in over time, but it is live now with the student and family contact information and will eventually have the amounts paid and still owed for fees and balances for Miscellaneous Ledger credits. To get started, we ask that band families at least try logging in to check and update their contact information.

To login to charms, do the following:

1. Log on to www.CharmsOffice.com
2. Locate the "Enter" button in the upper right-hand area of the home screen. Drag your mouse over “Parent/Student Login” and click.
3. Enter the “Perrysburg Bands” as the “school code” where requested. (If you ever forget this code, just click on the “need school code?” link.)
4. This will bring up the main Parent/Student page and allow you to look at the public program calendar and other information not specific to an individual student or group.
5. Clicking on an event on the calendar brings up the details for that event, such as times, attendance requirements and equipment/uniform necessities.
6. When you enter a student’s Perrysburg Schools ID NUMBER another more detailed screen appears with even more options to view your student’s Information.
• Student ID numbers are nine digits – typically the year they will graduate, i.e. “2011”, followed by a five digit number specific to each student. You can find your ID number on your Progress Book page.
• The first time you login, you should enter the student’s school ID Number as the password – then you may create your own, unique password by clicking on the “change password” button.
7. Information you can find: financial records, uniform assignments, music assignments, forms, and other information.

There are many behind-the-scenes benefits to this software, but the Parent/Student Area pages will help students, their families, the band directors, and the Band Boosters to better communicate with each other. Please be sure to update your contact information in Charms with an accurate e-mail.
